Job Summary:

Responsible for assisting with patients, book appointments, take vital signs, prepare rooms, filing, faxing, take EKG’s, and answer phones and assisting the Practice Manager with the management of the Department. Incumbent would provide backup responsibility for Practice Manager functions including training, workflow prioritization, overseeing daily department activities and user support for computer applications.

Duties and Responsibilities:

Assist with patient’s vital signs, book appointments, prepare rooms. perform in-office laboratory testing.

Filing and pulling charts. Mail. Answering phone, take message, fax information and prepare letters.

Register patients into computer and book appointments.

Template schedules in Practice Management system.

Monitors daily department activities and assist with distribution of work to maintain appropriate work and patient flow.

Under the direction of the Practice Manager, train new staff. Develop and maintain training manuals. Administer competencies for new staff. Provide input into the annual evaluations of the office personnel.

Monitor and provide support for users in multiple computer applications,

Assist in insuring the accurate collection of demographic and fiscal information with the Department’s Performance Improvement Plan.

Utilize email or voicemail to communicate problems or issues to other personnel.

Provide recommendations to update and maintain department procedures.

Perform the duties of the Medical Assistant.

Provide input into interviews and orientation of new employees to physician practice and provide ongoing training as necessary.

Oversees daily operational activity of physician practice.

Prepares and/or oversees daily deposit and balancing of daily cash.

Oversees the charge entry process and patient records.

Collaborates with Practice Manager and Physician to develop Physician practice.

Monitor office and medical supply inventory.

Under direction of the office manager, direct daily work schedules and assignments to ensure compliance with expected outcomes (making sure that duties that were allocated are in fact completed). Assist as point person for any issues that arise in the absence of the office manager.

Participates in Joint Commission Info Sessions with the manager to serve as mentor to other staff.

Monitors work que compliance for their particular site to assist the manager with office goals.

Perform all other related duties as assigned.

Requirements:

A High School diploma and 2-5 years experience as a Medical Assistant or equivalent is required.

Medical Assistant Degree/Certificate required.

Working knowledge of medical terminology and strong written and oral communication skills are required.

Experience in computer applications, training staff and development of educational materials is necessary. Spread sheet and word processing applications preferred.
