Assistant Property Manager
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Weekly
- Complete recertification’s (recerts) for all properties
- Review and complete requests for payments of invoices due every Wed in accounting
- Waitlist management- Ensure incoming housing applications are complete, time and date stamped, and enter data into housing waitlist. Monitor and update waitlist as needed.
- Documentation in EPIC of all contact with tenants and on behalf of tenants
- Wilson Street office hours 1 day per week
Monthly
- Ensure recerts are completed and coordinated with Paulhus & Assoc/RIH
- Spreadsheet to Pam Trombly to request rent payments to landlords
- Collect and record tenant rent payments (COC, Massie, Ocean, River, Ledge, GV, GV2, Nashua, Wilson)
- All Rents due in accounting on 16th of month
- HUD rents to Paul, all others to Vielca
- 10 Day Demand Notices for anyone who doesn’t pay rent and develop payments plans (COC)
- At start of 2nd month, if rent is not paid for consult Property Manager about eviction process.(COC)
- Review move-ins/move-outs (MI/MO) for HUD properties with finance representative
- Vacancy report on HUD properties to Facilities liaison and Property Manager
- Showing new participants apartments
- Assure HUD tenants are in compliance with REAC/lease and address tenant issues =171 units
- REAC prep/ inspections with facilities staff quarterly
- HUD vouchers for HAP payments to Paulhus before the 10th of every month
- Send a signed copy of voucher for Grandview to RI Housing CA
Ongoing
- Handle resident complaints/grievances and f/u in timely manner (COC)
- Develop and maintain relationships with landlords (COC)
- Communicate issues and deficiencies as well as corrective action required to tenants, landlord, and case manager as appropriate (COC)
- Develop and maintain relationships and communication with facilities HUD liaison and maintenance staff to ensure apartments, common areas, physical building and grounds are being kept
- Tenant selection and application process for MI/MO (COC)
- Move out process to include security deposit disposition, move out inspection with tenant, 59 Data form to Paulhus & Assoc.
- Coordinate the purchase of supplies and other approved items thru donations
- Responsible for clerical duties associated with position
- Preparation and completion of records/files (COC)
- Initiate eviction process as written when necessary, after reviewing with Property Manager. Work with attorney. (COC)
- HUD REAC
- Coordinate with outside vendors to schedule and ensure proper maintenance of all properties, identify issues and manage services
Quarterly
- Chart audits for compliance
- Yearly HUD waitlist purge letters to applicants
