Primary Function

Responsible for assisting with patients, book appointments, take vital signs, prepare rooms, filing, faxing, take EKG’s, answer phones, and assisting the Practice Manager with the management of the department. Incumbent would provide backup responsibility for Practice Manager functions including training, workflow prioritization, overseeing daily department activities and user support for computer applications.

 

Major Duties and Responsibilities

  1. Assist with patient’s vital signs, book appointments, prepare rooms, and perform in-office laboratory testing.

  2. File and pull charts, mail, answer phones, take messages, fax information and prepare letters.

  3. Register patients into computer and book appointments.

  4. Template schedules in Practice Management system.

  5. Monitor daily department activities and assist with distribution of work to maintain appropriate work and patient flow.

  6. Train and administers competencies for new staff. Develop and maintain training manuals. Completes annual evaluations for all medical assistants working in their practice in collaboration with the Office Manager.

  7. Responsible for the supervision of medical assistants working in the practice/s that the Lead Medical Assistant oversees. Monitors call outs and vacation request and works closely with Office Manager regarding office flows, coverage and staff schedules.

  8. Monitor and provide support for users in multiple computer applications.

  9. Assist in insuring the accurate collection of demographic fiscal information with the Department’s Performance Improvement Plan.

  10. Utilize email or voicemail to communicate problems or issues to other personnel.

  11. Provide recommendations to update and maintain department procedures.

  12. Perform the duties of the Medical Assistant.

  13. Provide input into interview and orientation of new employees to physician practice and provide ongoing training as necessary.

  14. Oversees daily operational activity of physician practice.

  15. Prepares and/or oversees daily deposit and balancing of daily cash.

  16. Oversees the charge entry process and patient records.

  17. Collaborates with Practice Manager and Physician to develop Physician practice.

  18. Monitor office and medical supply inventory.

  19. Perform all other related duties as assigned.

 

Job Qualifications and Specification

A High School diploma and 2-5 years’ experience as a Medical Assistant or equivalent is required. Medical Assistant Degree/Certificate required. Working knowledge of medical terminology and strong written and oral communication skills are required. Experience in computer applications, training staff and development of educational materials is necessary. Spreadsheet and word processing applications preferred.
