Primary Function

Responsible for the strategic planning, practice development, and clinical operations of multiple ambulatory clinic locations led by Office/Practice Manager to support achievement of corporate goals. Operates in a collaborative and supportive environment to manage practice growth, support development efforts and emphasize service quality.  Operates In conjunction with Office/Practice Manager, provides on-site dotted line supervision for clinical staff.



Bachelorís degree required in Business, Healthcare, or relevant field, Masters preferred with 7 years or more experience preferably in health care administration or equivalent. Must have excellent presentation, communication, organization and project management skills. Must have the ability to relate to all levels of the organization. Must be committed to a team-oriented work environment.  Must have ability to develop and implement sound financial business practices.


Application of Knowledge and Skill

  1. In conjunction with the VP of Operations and other members of the leadership team, develops and facilitates the implementation of the strategic direction of CNE. Ensures the strategic direction is achieved while ensuring that high quality of health care is delivered.

  1. Ensures the development and implementation of approved annual practice plans, goals and objectives for each practice/program, based on the strategic plan of CNE, with a focus on:

  1. Provides leadership to direct reports in the execution of approved strategies and goals.  Fosters an accountable environment and monitors achievement.

  1. Manages the implementation of operating policies, procedures, systems and programs consistent with organization philosophy, strategy and financial accountability.  Ensures standardization of policies and procedures whenever possible.

  1. Manages the fiscal resources of the practices in a manner that is financially responsible and consistent with the overall goals of the organization.  Collaborates with other leaders in CNE to develop a coordinated budget for review by the VP of Operations and CNMG President and COO.

  1. Makes recommendations for capital, operating and staffing budgets for departments and clinics for which the Practice Administrator is responsible. Prepares annual goals and budgets for submission as required.  Responsibilities include preparation, submission and management of annual budget for all assigned practices.  Management includes preparation of variance report explanations when actual results deviate from established budget parameters.

  1. Works closely with the revenue cycle management (RCM) leadership to continuously improve the revenue cycle for the practices.  Maintains up-to-date knowledge of general third party billing and coding regulations.

  1. In collaboration with physician leaders, evaluates the need for new resources such as additional providers, staff or services and designs comprehensive business plans/proposals to make a case.

  1. Establish and manage physician relationships to enhance productivity that will fully utilize clinic resources and increase CNEís net patient revenue.

  1. Collaborates with senior leadership to enhance existing services and/or implement new business strategies to build and maintain desired patient panel levels for both new and existing physicians/providers. Develop and enhance physician practice growth and quality of care.

  1. Ensure practice efficiency.  Assess provider capacity and utilization to balance patient demand with available space and staff to ensure doctors are not over worked or under-utilized.  Adjusts staffing and expenses for variations in projected budget income caused by fluctuating volumes and other external forces.

  2. Facilitates the recruitment of employed physicians and midlevel providers. Ensures responsiveness and a high-touch approach when recruiting providers. Particularly for initial candidate interviews, site visits and decisions regarding final candidate selection.

  3. Works with senior leadership to strengthen relationships with externally affiliated physicians.

  1. Responsible for all logistics of operations including space, communication, Computer/IT services, maintenance, etc.

  2. Spends appropriate amount of time observing each practice to evaluate operational flow including patient process, office team work, patient interaction with staff and patient satisfaction levels.

  3. Responsible for the onboarding of practice management staff. Recruit, hire, develop, train, coach and manage office/practice managers to ensure goals are met and successful transition of new managers. Includes designing a standardized training program, setting goals, conducting professional development plans and evaluating performance annually.  Assess team member performance and implements corrections.

  4. Evaluates staffing structures and makes recommendations for staffing resources based on analysis of financial data, practice/program utilization requirements, comparisons to FTE benchmarks for practices/programs of similar size, scope and complexity and other analytics as available.

  1. Provides leadership to direct reports in the execution of work plans and long and short term goals. 

  1. Provides ongoing recognition, feedback, and development, holding office/practice managers accountable for success. Identifies and mentors future organizational leaders. Ensures appropriate resources are provided to staff.

  1. Strives for teamwork and unification of practices as one group.  Organizes meetings by groups and/or specialty to discuss challenges and share best practices across the organization.

  1. Communicates effectively.  Schedules routine meetings, including one-on-one meetings with each office/practice manager and lead doctor.  Provides feedback on positive and negative trends including required corrective actions.  Participates at office/practice manager group meetings as required.

  1. Development and maintenance of evaluative reporting mechanisms and performance communication to VP of Operations and other members of senior leadership.

  1. Maintains a patient focused approach and strives for the highest patient satisfaction levels.

  1. Identifies themes around staff/provider/patient complaints and brings them to the attention of the VP of Operations with potential solutions.

  1. Stays knowledgeable about current trends & issues in healthcare.  Participates in professional association activities to ensure currency of practice and healthcare delivery trends pertinent to the practice. i.e. attends local organization meetings, seminars and/or webinars.

  1. Strives for continuous quality improvement and facilitates process improvement initiatives for the practice and group-wide. Makes use of reports, audits, outside reviews, compliance reviews, general observations and other available resources of information.  Promotes the use of information technology and ensures enhanced use of the electronic health record to improve efficiency in processes throughout the practice(s).

  2. Uses appropriate tools to evaluate process improvement such as flowcharting, PDSA (Plan, Do Study Act), Value Stream Map and root cause analysis.

  3. Works with Care New England Compliance Office to ensure compliance with all applicable laws and regulations.

  4. Maintains patient rights to privacy and confidentiality according to HIPAA regulations.

  5. Performs other duties as assigned or requested.
