Job Summary:
The Providence Center Program Management Analyst will oversee the daily data, operations and billing of Anchor Recovery Community Center, the Jim Gillen Teen Center, TPC’s Certified Community Behavioral Health Clinic (CCBHC) Peers, and Oasis Wellness Center.
Provide data management and reporting for all program contracts, assist with expenditures and financial/data management for all sites.
Work collaboratively with assigned teams and remain in routine communication with managers and Director of Peer Services regarding data management and reporting.
Duties and Responsibilities:
Prepare and submit timely reports to Rhode Island Department of Behavioral Healthcare, Developmental Disabilities and Hospitals / Executive Office of Health and Human Services. (BHDDH/EOHHS), including updates on progress, challenges, and solutions.
Manage program metrics and submit data reports to contractors.
Provide written reports/excel spreadsheets, including required monthly reports, Mobile Outreach Recovery Efforts (MORE) reports, workforce development plans, staff retention plans, etc. to remain in compliance with community partnerships/agreements.
Work directly with CCBHC Manager and Director to ensure oversight with CCBHC Peer staffing allocations.
Manage daily census amounts for all programs for reporting requirements.
Ensure billing and administrative tasks function effectively and efficiently.
Assist with budget management and with expenditure requests for program needs and activities.
Manage budgets with funding for client activities, or other orders that require finance department approval.
Work collaboratively with assigned programs, CNE’s Sponsored Program and Research Administration (SPRA) department and CNE’s Philanthropy office to review, monitor and spend down any grants/contracts awarded.
Provide input and data reporting on outcomes driven from awarded grants and contracts.
Attend routine meetings with internal and external stakeholders (BHDDH/EOHHS, SPRA, etc.)
Work with Peer Program Manager to ensure that Peer Support staff are following CCBHC staffing regulations and assigned accordingly.
Serve as a member of the Recovery Management team, including attending all required meetings.
Provide support to managers of Anchor, Oasis, Peers, and Teen Center with administrative tasks.
Assist with system updates and office procedures at all assigned locations.
Conduct audits of the electronic medical record (EMR) to ensure documentation is timely, accurate, and in compliance with center practices.
Manage scheduling of events with community partners and social events for recovery centers.
Coordinate with CNE marketing for website/events updates.
Travel between each location for essential job functions.
Assist in the development, monitoring, and presentation of internal quality measures and initiatives.
Assist Managers and Director with preparing for licensing and accreditation visits.
Manage data needs with programmatic plans and objectives.
Manage timelines and deliverables for data needs across assigned programs.
Develop ad-hoc reports as needed.
Assist with special projects.
Attend trainings, conferences, and committee meetings.
Maintain cooperative relationships with other employees, consumers, and the public.
Communicate effectively with staff, representatives of other agencies and the public.
Other duties as assigned or needed.
Requirements:
Associate's degree required.
Minimum of 6-months to 1-year of relevant administrative and operational experience.
Foundational knowledge about behavioral health, specifically, substance use disorders.
Ability to work autonomously and within a team dynamic.
Ability to collect data and present data clearly and with purpose.
Ability to work with both internal and external vendors/contracts.
Manual dexterity and mobility required.
Must have a valid driver's license, registration, current inspection, and insured automobile (access to personal vehicle).
