Job Summary:

The Providence Center Scheduling Coordinator plays a critical role in ensuring the smooth operation of our CCBHC clinical services by preparing and posting all staff shifts in a timely and accurate manner.

This includes all per diem, after hours, weekends, holidays and 24/7 programs.

This role requires close collaboration with CCBHC Clinical and Administrative Management to ensure that staff are eligible for per diem and meet company guidelines for these shifts.

Duties and Responsibilities:

The Scheduling Coordinator will coordinate, document and distribute the calendar for clinical and administrative shifts at least one month in advance.

Communication, attention to detail, excellent computer skills and time management are essential to ensure the success of this role.

Attention to Detail: Must ensure accuracy in all aspects of scheduling, including compliance with regulations, contractual obligations, and company policies.

Time Management: Required to meet very specific deadlines, often under pressure, while managing multiple tasks simultaneously.

Communication Skills: Must possess strong verbal and written communication skills to effectively coordinate with management, clinical staff, and other departments.

Problem-Solving Skills: Ability to anticipate scheduling conflicts and proactively find solutions.

Technical Proficiency: Proficient in scheduling software and other relevant tools, with the ability to quickly learn new systems.

Ability to Manage an online calendar: develop a pool of per diem staff both for Clinical and Administrative staff.

Last minute staff changes: Collaborate closely with Clinical/Administrative Managers for any last-minute staff call outs to assure shifts are being covered appropriately.

Team Collaboration: Ability to work effectively as part of a team, as well as independently, with minimal supervision.

Flexibility: Must be adaptable to changing schedules, priorities, and work environments.

Confidentiality: Maintain the confidentiality of all employee information, adhering to company policies and legal requirements

Requirements:

High School diploma or equivalent required. Associate's degree or equivalent from an accredited two-year college or graduate of a secretarial school program preferred.

Three (3) years of clerical experience required.

Demonstrated competency in office/administrative procedures.

Demonstrated ability to use computers, set up filing systems, and manage multiple priorities.

Proficiency with PCs and experience with various software packages, including MS Office, required

Valid RI Driver’s License and automobile insurance required.
